Advancement Chair

Role Summary

The Advancement Chair ensures that every Scout receives recognition for their achievements promptly and with ceremony. This means processing den advancement reports, purchasing badges and awards in time for each pack meeting, coordinating recognition ceremonies, and helping families and leaders understand the advancement program.


Requirements

  • Age: 21 years or older
  • Registration: Registered adult leader of BSA; current with YPT
  • Selection: Selected by the Committee Chair
  • Required Training:
    • Youth Protection Training (YPT) — renew every 2 years
    • Pack Committee Challenge (online at my.Scouting.org)
  • Access: Provided a pack debit card to purchase awards; no bank account access

Core Responsibilities

  • Have a working knowledge of the Cub Scout advancement plan
  • Process advancements received from den leaders and the Cubmaster (via Scoutbook)
  • Purchase badges, awards, and insignia in time for each pack meeting
  • Submit advancement forms to Council (Twin Rivers Council)
  • Help plan and conduct induction and advancement recognition ceremonies
  • Coordinate with AOL den leader and Scoutmaster for meaningful crossover/graduation ceremonies
  • Educate parents, committee members, and den leaders on the advancement plan
  • Promote use of den advancement charts and Scoutbook to recognize progress
  • Assist the Treasurer with the annual budget for advancement-related items
  • Promote proper wearing and use of uniform and insignia

Advancement Flow

Den Leader completes adventure/rank in Scoutbook
    ↓
Scoutbook generates advancement report (or den leader notifies Advancement Chair)
    ↓
Advancement Chair reviews and purchases awards
    ↓
Awards presented at next pack meeting
    ↓
Advancement Chair submits advancement report to Twin Rivers Council

Key principle: Awards should be presented at the very next pack meeting after they are earned. Do not let recognition lag — it is discouraging.


Purchasing Awards

  • The Advancement Chair has a pack debit card specifically for purchasing awards
  • Awards are purchased at the Twin Rivers Council Scout Shop or through authorized BSA vendors
  • Keep all receipts and submit them to the Treasurer for records
  • Order slightly ahead of need — know what’s coming based on den leader advancement reports
