Overview

Processing advancements means taking the records from Scoutbook, purchasing the right awards, and submitting the official advancement report to Twin Rivers Council. Do this monthly, before each pack meeting.


Monthly Process

Step 1: Pull Advancement Data from Scoutbook

  • Log in to Scoutbook.com (or my.Scouting.org > Scoutbook)
  • Review completed adventures and rank advancements reported by den leaders
  • Generate the advancement report (Scoutbook has a report feature that produces the council submission format)

Step 2: Verify with Den Leaders

  • If any advancement records look incomplete or unexpected, confirm with the den leader before purchasing awards
  • Den leaders should mark requirements complete in Scoutbook promptly after each meeting — follow up if records appear behind

Step 3: Purchase Awards

  • Use the pack debit card to purchase at the Twin Rivers Council Scout Shop
  • Buy:
    • Rank badges (for completed rank advancements)
    • Adventure pins (for completed adventures)
    • Certificates (for rank advancements and special recognition)
    • Any special awards (leadership awards, religious emblems, etc.)
  • Keep all receipts — submit to Treasurer

Step 4: Prepare for Pack Meeting

  • Organize awards by den before the pack meeting
  • Coordinate with the Cubmaster to ensure the ceremony is planned and any special recognition is prepared
  • Bring a list of what is being awarded and to whom

Step 5: Submit to Council

  • Submit the advancement report to Twin Rivers Council after the pack meeting
  • Can be done through Scoutbook (preferred) or the paper form
  • Council submission keeps the BSA’s national records up to date

Tracking What’s Pending

Maintain a simple log of what has been ordered and what is pending for each Scout. This prevents duplicate purchases and ensures nothing is missed.


Budget Coordination

Each fall, the Advancement Chair provides estimates to the Treasurer for the annual budget:

  • Estimate number of Scouts and expected advancement pace
  • Factor in major milestone years (large AOL class, etc.)
  • Track actual spend vs. budget throughout the year
