Public Relations Coordinator

Role Summary

The Public Relations Coordinator manages Pack 232’s marketing, visibility, branding, and social media — keeping the pack visible to current families, the broader community, and prospective Scouts. This role encompasses what was previously the Marketing / Social Media Chair position.

Core Responsibilities

Marketing & Visibility:

  • Provide press releases to local press on major pack events (Pinewood Derby, Blue & Gold, recruitment)
  • Identify and participate in community visibility events (activities fairs, parades, school events)
  • Circulate Cub Scout recruiting fliers and brochures
  • Coordinate with the Member Recruitment Coordinator on promotion of recruitment events
  • Prepare promotional materials for school-night sign-ups and activities fairs
  • Keep pack activities visible to the chartered organization (Glenmont Elementary PTA) and community
  • Coordinate with Glenmont Elementary on getting messages into school newsletters
  • Maintain pack branding consistency across all materials

Social Media:

  • Take photos at pack meetings and outings; post them to the pack Facebook page
  • Create Facebook events for pack meetings and outings (at least 2 weeks in advance)
  • Post recruitment announcements during recruitment season (August–September)
  • Share major milestone posts (Blue & Gold, crossover, Pinewood Derby results)
  • Respond to questions and comments on the pack’s social media
  • Maintain a regular posting cadence to keep the pack visible online
  • Follow BSA youth protection guidelines for photo sharing

Press Releases

Local press coverage builds community awareness and supports recruitment. Submit press releases for:

  • Pinewood Derby — great local interest; photos of Scout racing cars
  • Blue & Gold Banquet — especially with notable guest speakers or service components
  • Arrow of Light Crossover — milestone for graduating Scouts
  • Service Projects — community-focused, strong human interest angle
  • Recruitment events — “Cub Scouting is open to all kids in Glenmont”

Local press outlets:

  • Bethlehem Spotlight / Spotlight News
  • Times Union (community section)
  • Nextdoor (Glenmont neighborhood)
  • Glenmont Elementary school newsletter or PTA communications

Visibility Events

Community visibility events are opportunities to show the pack’s presence and recruit new Scouts.

  • Bethlehem Activities Fair — annual booth to connect with families (see docs/Training/Positions/Marketing - Public Relations Chair/Events/2025 Bethlehem Activities Fair.md)
  • Community parades and events — identify opportunities, coordinate Scout and leader participation
  • School Night for Scouting — support with fliers, promotional materials, and branded items

Photo Policy

  • Only post photos of Scouts whose families have given consent (collected via photo release form)
  • When in doubt, crop out faces or get explicit permission
  • Follow BSA’s youth protection policies: no individual photos of a single Scout without a parent present
  • Capture Scouts in action (not just posed shots)

Facebook Admin Access

  • Admin access: Committee Chair and Secretary
  • Editor/poster access: Public Relations Coordinator
