Overview
The Secretary manages the pack’s communications infrastructure — email distribution lists, the pack website, and the Facebook page. These may be delegated in whole or in part to others (e.g., the Public Relations Coordinator manages social media posting; the Webmaster manages the website), but the Secretary maintains access and overall responsibility.
Email Distribution Lists
The pack uses email groups for communicating with families and leaders. Key lists:
| List | Purpose | Who manages |
|---|---|---|
| All families | Monthly pack meeting announcements, major news | Secretary / Committee Chair |
| Den leaders | Leader coordination, upcoming events | Secretary / Cubmaster |
| Committee members | Committee meeting notices, administrative updates | Secretary / Committee Chair |
Responsibilities:
- Keep lists current — add new families as they join, remove those who leave
- Ensure the right people have access to send to each list
- Archive important communications in Google Drive
Pack Website
The pack website is the primary public-facing presence of Pack 232.
Content the Secretary/Webmaster maintains:
- Event calendar (pack meetings, outings, recruitment events)
- Leader contact information
- New family information and how to join
- Links to forms (health forms, consent forms, adult applications)
- Den information and meeting schedules
Access: Secretary (and Committee Chair) have full website access.
(Webmaster role is informally filled — coordinate with Committee Chair regarding who maintains day-to-day website updates)
Facebook Page
The pack’s Facebook page is used for:
- Event announcements and reminders
- Photo sharing from pack events (Public Relations Coordinator typically posts photos)
- Recruitment promotion
- General community engagement
Access: Secretary and Committee Chair have admin access; Public Relations Coordinator has posting access.
Coordinate with: Public Relations Coordinator for event postings and photo uploads.
Notifications to Leaders
Before each committee meeting:
- Send meeting notice to all committee members and den leaders (date, time, location, agenda)
- Send 2–3 days in advance
Before major events:
- Send reminders to den leaders and families via email
- Coordinate with Cubmaster on content
