Overview

A Scout who joins Pack 232 but never feels welcome is a Scout who will drop out. The Membership Chair (or Member Success Chair) serves as the welcoming ambassador — ensuring every new family is connected, informed, and feels like part of the pack community from day one.


New Family Orientation Meeting

For families who join in September, host a new family orientation meeting within the first month.

Sample agenda (see full template: docs/Training/Positions/Membership Coordinator/Parent Meeting/PARENT-MEETING-AGENDA-SAMPLE.md):

  1. Welcome and introductions (15 min)
    • Leaders introduce themselves
    • New families briefly introduce themselves
  2. What is Cub Scouting? (10 min)
    • BSA overview, the Cub Scout promise and values
    • How the Cub Scout program works (dens → pack)
  3. Pack 232 overview (15 min)
    • How the pack is organized and who to contact
    • Annual schedule of events
    • How to use the pack website
  4. Finances (10 min)
    • Annual dues, how popcorn fundraiser works
    • How to pay (WooCommerce, Square, etc.)
  5. Uniforms (10 min)
    • What to buy, where to buy it, what not to buy yet
  6. Q&A (10 min)

Connecting New Families to Their Den

Immediately after a new Scout registers:

  1. Identify their den based on grade (Lions for K, Tigers for 1st, etc.)
  2. Email the den leader with the new Scout’s name and family contact info
  3. Email the family with the den leader’s name and contact info
  4. Encourage the family to attend the next den meeting

New Family Welcome Package

Prepare a welcome package for new families:

  • Pack 232 overview one-pager (who we are, key contacts, website)
  • Link to pack website and how to set up a Scoutbook account
  • Pack calendar for the year
  • Uniform guide (what to buy for their rank)
  • BSA registration info (confirm application is in progress)

Family Talent Survey

As new families join, capture their skills and availability. Many activities (Blue & Gold, camping, special events) need parent volunteers with specific skills. A simple intake form asking about skills (cooking, crafts, outdoor skills, photography, etc.) and availability helps the Committee Chair and Cubmaster recruit the right volunteers.
